City Mechanical is a new construction HVAC contractor based in Edmonton, Alberta. This page explains, in plain English, what we collect when you contact us and how we handle that information. If anything here is unclear, email info@cityhvac.ca and we'll explain.
Information We Collect
We only collect information you choose to send us through our website forms, by email, or over the phone. That typically includes:
- Your name and the company or builder you represent
- Email address and phone number
- Project details you share with us — project type, address or neighbourhood, number of units, square footage, target rough-in date, and any notes
- Blueprint or plan files you upload (PDF, DWG, JPG, PNG) so we can prepare an HVAC quote
- For supplier inquiries: company, contact, product categories you carry, and any notes you include
We don't use third-party advertising trackers and we don't sell or share your information with marketers.
How We Use It
- To respond to your quote request with pricing and timeline
- To communicate about active or upcoming projects — schedule, scope changes, permits, site coordination
- To follow up on supplier and trade-partner inquiries
- To keep internal records of work we've quoted or completed
We do not send marketing email blasts. If we email you, it's because you contacted us first or we're working together on a project.
Data Storage and Retention
Form submissions and uploaded blueprints are stored securely on our hosting infrastructure. Files are kept only as long as we need them to quote, plan, install, warranty, and close out a project. After a project is complete and the warranty period has passed, we periodically clean up old files.
If you'd like a specific submission or set of files removed sooner, just let us know — see "Your Rights" below.
Third Parties
We try to keep your data inside our own systems. The only third-party involvement is the form delivery service that routes submissions from our website to our internal email and database — your information is sent there so our estimating team can see and respond to it.

Your Rights
You can ask us, at any time, to:
- Confirm what information we have about you or your company
- Correct anything that is inaccurate
- Delete your submission and any uploaded files
